CEUs
Members: Courtney Schroeder and Victor Huerta
Responsibilities: This subcommittee is responsible for completing and submitting the Continuing Education Unit (CEU) application prior to the conference. Following the conference, they collect participant feedback and submit the necessary documentation to ensure CEU credits are awarded.
Time commitment: The role is busiest in the week leading up to the CEU application submission deadline and again after the conference during the credit submission process.
Marketing
Members: Dawn Nixon and Bailey Machek
Responsibilities: This subcommittee works closely with the graphic designer, promotional product support, and the vendor subcommittee to develop and distribute marketing materials, including brochures, logos, bingo cards, promotional items (swag), and other digital assets. Creativity is an important skill for this role, as it involves generating design ideas and helping shape the overall conference theme
Time commitment: The time commitment varies but is more intensive during brochure development and the ordering of promotional items (swag). Depending on the specific roles assumed within the subcommittee, the total time commitment may range from approximately 5 to 15 hours.
Registration/Materials
Members: Lauren Frank, Kaylee Henson, and Abby Amos
Responsibilities: This subcommittee is responsible for creating and maintaining the conference registration website, as well as printing and preparing conference materials such as name tags, bingo cards, schedules, and related items.
Time commitment: The subcommittee is busiest during the one to two weeks leading up to the conference, when materials are printed and name tags are created, printed, and assembled. Overall, the total time commitment is approximately 10 hours.
Speaker Coordination
Members: Caroline Estes, Katelyn Payne, and Leigh Anne Stout
Responsibilities: This subcommittee serves as the primary point of contact for conference speakers. Responsibilities include sending planned invitation and follow‑up emails, coordinating communication, and collecting required materials by established deadlines. Team members may also introduce speakers during the conference.
Time commitment: The estimated total time commitment for this role is approximately 5 hours.
Vendor
Members: Bekah Krukenberg and Afifa Hamilton
Responsibilities: This subcommittee serves as the primary point of contact for conference vendors. Responsibilities include sending planned outreach emails to invite vendors to participate in sponsorships and CEU speaking opportunities; maintaining accurate vendor contact records; responding to questions related to logistics and tiered sponsorship options; assisting the Treasurer with payment coordination; and collecting and managing required materials ahead of established deadlines.
Time commitment: The time commitment varies throughout the year. It is typically approximately 1–2 hours per week during February, when initial outreach to vendors occurs, and again during the weeks leading up to the conference.
